ORGANIZED SWAPS / New Swap Theme Ideas / Return of the Secret Santa Wishlist Swap! by calluna
Date started: September 12, 2017 05:50:10 PM, Replies: 272
I want to make this happen this year! It's normal Secret Santa in many respects, but you post your wishlist to the swap thread (like in OWS), and anyone can secretly claim you for something. You can take on as many giftees as you choose, and you may have numerous Secret Santas sending you things. Every claim is assigned a code name, and I, as organizer, keep track of which code names go with which person and claim, and I act as an intermediary if a Santa has a question for their giftee. It is sneaky, benevolent mischief, and I love it!  Cheesy

Here is the thread of the other round I organized, so many years ago:
https://www.craftster.org/forum/index.php?topic=279836.msg3167910

Crafting and gifting would be for 2 smalls or a medium, and wishlists for swappers' family members are also welcome. Crafted items do not have to be seasonal/holiday-themed, unless that is what the giftee wants. Assuming all goes well and I don't get waylaid by life, sign-ups would begin in early November, and send-outs would be during the first days of December. International swappers more than welcome, as are first-time swappers, though there would be a limit on how many pending claims a new swapper could make at one time.

I would need a back-up organizer for emergencies, and to handle the claim of anyone who wants to be my Secret Santa.

I had so much fun with this swap and I know other people enjoyed the mystery of it too (as well as the loot they received)! Feel free to ask me any questions. Now I'm posting this, I'm accountable to all of you to follow through on  it!

ORGANIZED SWAPS / ACTIVE SWAPS WHERE SIGN-UP PERIOD HAS CLOSED / Mini 12 Days of Christmas 2017 (sign up 7/18 to 8/4/17; s/o 11-25-17) by Helena Puck
Date started: July 18, 2017 08:59:15 PM, Replies: 467

It's that time of year again!  Time to sign up for the MINI 12 DAYS OF CHRISTMAS SWAP!!!!  It may seem a bit early to some, but I love knowing theres a long crafting time.  Especially since this swap is on the bigger side and the holidays can be hectic so, starting early just makes things easier and stress free.

This is a swap for all you Craftsters out there who would like to do a Christmas/Holiday swap but, feel that the original 12 Days Of Christmas swap is too big for them.  Be sure to read everything through and that you understand it all. If you have any questions feel free to post them in this thread or send me a pm.

Swap name: MINI 12 Days Of Christmas Swap 2017
Craftster member who is organizing this swap: Helena Puck
Co-organizer: lindyv321

Sign-up date range: from 7/18 to 8/4/17
Date to send items by: 11/20 for international packages and 11/25 for US packages.  Please note the change!
Limited to a certain number of people: 30 (if more people join, I will need a co-organizer)
Restricted to people who all live in the same country? No
All ages allowed? 16 and over, regardless of your age make sure you have a way to the PO and the means to participate in this swap.

I reserve the right to deny any Craftster's entrance into this swap for any reason including the following...
-ANY "negative" feedback and/or comments
-poor communication in past swaps
-consistently sending late in past swaps
Note: I will also leave feedback reflecting your actual participation in the swap (good/poor communication, early/late sending, etc)

Swap Organizer himself/herself meets these conditions:
- Has fully read the Swap Info Guide: YES
- Has successfully completed two swaps as a participant: YES
- Is not organizing more than three swaps right now: YES
- Will recruit a co-organizer or give all details to a Swap Moderator if this swap has more than 25 participants: YES
- Is at least 18 years old: YES

Swap Organizer will check each participant to make sure they meet these conditions:
- Has been a member for at least one month.  YES
- Has posted at least 15 times.  YES
- Is not currently signed up for more than five swaps.  YES
- Does not have any negative feedback.  YES
- Has participated and received positive feedback in at least 1 other swap.  YES
- Participant has agreed that he/she is at least 16 years old: YES
- If within the US, understands that Delivery Confirmation number is required for this swap: YES
- If outside the US, understands that a mailing receipt copy is required for this swap: YES

Details of swap:

The idea of this swap is to craft for your partner 12 items based on their interests, going along with the idea of the 12 Days Of Christmas song. The items that you make DO NOT have to be the items in the 12 days of Christmas song. The items sent/received can be BOTH everyday items and Christmas/Winter themed goodies. You will make 6 small items for days 1-6, for days 7-10 you will make medium items and days 11 & 12 will be large items. So that is 2 large, 4 medium and 6 smalls for a total of 12 days.

So, the break down will be:
DAYS BREAKDOWN:
Days 1-6 small
Days 7-10 medium
days 11-12 large

In the past round it was 75% crafted items & 25% store bought.
(extras are optional and are solely up to you.)

Below are Craftster guidelines for size requirements to help everyone. If you are having troubles with a certain size feel free to make an equivalent to the particular size. For instance, instead of a medium, you could look at the guidelines and substitute the 1 medium for perhaps 2 or 3 smalls. Just be sure to look at the guidelines and use your best judgment. Put yourself in your partners shoes and ask yourself if you think you would be happy with the equivalent of the items they choose. And, if in doubt, you can always send a pm to me and get a second opinion, and if youre still in doubt, ask another person in this swap. Here are the guidelines:

By Time
-Large = 3 or more hours
-Medium = 2 or more hours
-Small = 2 or less hours

By Price
-Large = $30 or more
-Medium = $10-$30 dollars
-Small = $10 or less

By Size
-Large = A shawl, a shirt, a skirt, a set of jewelry with four to five items, a purse, DIY kits, blankets, bags, totes, cable knitted items, place mat sets, cable leg warmers, pretty knit socks, kitchen set of potholders/apron, set of embellished dish towels.
-Medium = one single necklace or bracelet, a scarf, wrist warmers, thread catcher, note card set, hats, magic yarn ball, embroidered pillow case, apron, stencil shirts.
-Small = Earrings, stickers, wallets, pouches, bookmarks, hand carved stamps, coasters, pot holder, key chain, dish clothes, decorated frames, journals, head bands, pincushion, heat packs.

Please note-these are just ideas of crafts to make.  I have potholders in the small category.  However, if you make an intricate one with lots of pieces or an embroidered one, it could also count as a medium, or if you make a set of 4 that could be considered medium too.  I just put it in the small category because I was thinking of one simple potholder.  So, please use your best judgment with sizes.  You can always ask my opinion or another swappers opinion if you want.  I think the most important thing is to put yourself in the receivers shoes Would you be happy receiving a simple potholder as a small item?  Would you be happy if your large item was a cabled scarf?  Anyways..

Note: In the past there has been slight confusion on how to label packages.  So just to make it clear the first package you want your partner to open, you label as #1.  Then for the 2nd package you want them to open youd label #2 the second and so on.  So, #12 package would be the last package opened.  You can also label them by dates, as in put 'DEC 1' on the first gift your partner will open then the last gift would be labeled DEC 12th.  Either way you want to label them is fine.  Just make sure that the small gifts are opened first and the last gifts opened are the large.

The RULES:
1. You must send ALL PM's to Helena Puck and all PM's must have the subject line: Mini 12 Days of Christmas 2017.   Note: I am in Alaska, so the timezone will be different. If I am ignoring you, it is probably because it is in the middle of the night for me.

2. You must post in the original thread at least once a week! This starts once partners are assigned. That is only about 10 posts.

3.PM's must be sent to Helena Puck and your partner when you send and receive. If you are sending within the USA or Canada you must get a DC# / tracking # and send it to Helena Puck and your partner. If you are sending outside of your country, you must keep your receipt as proof of shipping, it will be requested if there are any problems! This is mandatory!

4. When you open each days package, you will then need to post in the gallery. I ask that you post pictures within a reasonable amount of time. I know that the Holiday season can be quite hectic, but please get them posted within 5 days of opening. Posting pictures is a requirement for this swap! If you don't have a digital camera and cannot get access to one, please ask your partner to take pictures before they send.

5. The following items are NOT allowed in swap packages:
- Anything that is illegal in the U.S. or wherever you are sending your package to or from.
- Any items that have a legal age requirement to consume in the U.S. such as tobacco, alcohol, pornography etc.
- Mixed CDs containing copyrighted music or similar, including copied software, CDs, DVDs, etc
If you are uncertain please check Craftsters guidelines as well as your local post office

6. If you are sending BAKED GOODS, please only send them if you and your partner live in the same country. I don't want anyone's package to go MIA with the lovely customs officials. Also, if you are sending baked goods, you may leave them out of your package and send them individually so they arrive in a timely manner and don't spoil or go stale.

7. I highly recommend that you wrap your items in a plastic bag/trash bag/ or some other protective wrapping INSIDE the box you are sending. Because of the time of the year packages can get WET due to the post office/ups/etc. leaving them on the doorstep AND some swappers have suggested that you also do this with anything you might send to a hot climate that might melt on your swap goodies.

8. Also, if you will be shipping to a partner that is in a HOT climate during the swap send outs, please do not include anything that might melt on their swap goodies. Think about wrapping them in a plastic baggie or something similar.

9. Here is some info from the USPS on the Flat Rate Boxes: these can be used for Domestic and International but the rates differ for International shipments. And if you purchase your postage online at usps.com or by paypal, com you get a small discount on the postage price. The Flat Rate boxes themselves are FREE (you still have to pay for postage ) from your local post office and also FREE if you get them online from the website usps.com, they will deliver them to you free of charge too!! Canada has some shipping envelopes that can be used within the country or region and prices will vary, but if you are sending something heavy they are a good choice.

10. I highly recommend that each of you put together a WIST or a PINTEREST. These are a huge help for your swap partner. They get to look through all the things you have put into it to get a feel for what you like.

Also remember to read the Swap Info Guide to find out how to ship your packages and other details about participating in a swap.

AND AS A REMINDER:
Please remember to keep in the holiday spirit.  Extras are optional-but quality is NOT optional.  I want everyone to receive nice items that were crafted/bought with them in mind.  So, in other words Please read their questionnaire over and over and make sure you are sending them something they will like, and not just random things thrown in a box.  Its never fun to receive a thought-less package, especially when they worked hard to make you crafty wonderful-ness from the heart.

ORGANIZED SWAPS / ARCHIVE OF SWAPS THAT ARE TOTALLY FINISHED / Sweat Shoppe ORNAMENT Swap Round 8 (finished crafting 11/17, send by 11/20) by GatorWrangler
Date started: October 03, 2017 07:18:55 PM, Replies: 240
In a nut shell the sweat shoppe ornament swap is a grab bag style swap. Everyone crafts 3 or 6 like ornaments, and in return you will receive 3 or 6 different ornaments. Since you don't have to customize for each of your partners, a lot of people like to make their items ahead of time before signups close, but it is your choice.

Swap name:Sweat Shoppe Ornament Swap Round 8 (Ornament)
Craftster member who is organizing this swap: GatorWrangler
Sign-up date range: Oct 3 to Oct 23
PM Organizer top picks by: Oct 25, 6pm eastern
Must be finished crafting (green) by: Nov 17
Date to send item by: Nov 20

Limited to a certain number of people? (optional):25

Restricted to people who all live in the same country?NO

All ages allowed? must be over 18

This next part is for me and the Mods...
Swap Organizer will check each participant to make sure they meet these conditions:
- Has been a member for at least one month: YES/NO
- Has posted at least 15 times: YES/NO
- Has completed one swap successfully before signing up for multiple swaps at a time: YES/NO
- Is not currently signed up for more than five swaps: YES/NO
- Does not have any negative feedback: YES/NO

Details of swap:
~ Each participant will make 3 or 6 like items. For instance, 3 or 6 of 1 kind of ornament, or 3 sets of 1 kind of ornament AND 3 sets of another ornament.
~ Each item/set should be the best representation of your work, and have an estimated retail value of between $7-$10 USD. If you have any doubt, post your item in the business discussion board and see what others there think. Or you may post in the sweat shoppe ornament discussion thread https://www.craftster.org/forum/index.php?topic=394576.0 ,
~ When sign ups close, I will ask everyone for a 'top picks list'. That list is a wish list, from the items that are offered, and there will be an effort to match to you, as many items on your list, the remainder of items will be randomly placed.
~ Then I will post a list on the forum for about a day. During this time, people can bring any errors to my attention. DO NOT PM ANY PARTNERS DURING THIS TIME UNTIL I GIVE THE OKAY.
~ We have a system for sending early; the master list of swappers will be color coded for those who are ready to receive items. When you are finished crafting, you will PM me, and I will change the color of your name on the master list to green, at that time you may send to any other green/ready person! I will also send out a check in PM for those who are not finished early, and at that time your status will be determined.
~ Make sure to get a Delivery Confirmation number for all Domestic shipments. If the item is International, make sure to save your receipt.
~ Feedback will be given when all items are confirmed as received.
~ Positive feedback will be given for all people complying with the craftster swap guidelines. Late senders will be recorded in the comments section, as will poor communication. If I have to track you down, for confirming you have received or sent items, this is poor communication. When an item arrives at your door, you are expected to PM the sender of an item as well as GatorWrangler, and post in the gallery.
~ there are a lot of veteran sweat shoppers here, if you have any questions please feel free to ask your questions here OR you can PM me!
~ You may put your 'name in the hat' once (for 3 items) or twice (for 6 items)

Please make a sample of what you are offering and post the picture on this thread before signups end so people can make their top picks list. And if you do not feel someone's offering meets swap requirements, please pm me before signups close.

I reserve the right to refuse anyone.  If you have feedback that shows a history of late sending, ill-communication, incomplete packages, lack of DC#'s, etc. I may refuse you. I want this to be a flake-free swap that is a joy for all participants during the holiday season.

How are you spending the holidays?  Perhaps you will be cozied up at The Burrow, wandering the halls of Hogwarts, or having a good old-fashioned Muggle gathering... but really what better way is there to celebrate than with a little Harry Potter Holiday crafting!  For this swap we will be exchanging small Harry Potter holiday ornaments or stocking stuffers like mini-hooplas, jewelry for the Yule Ball, etc.

~*This swap is for 1 small item (1-2 hours crafting time) in the theme of HP Holiday.
***Please note that while many folks in the swap will celebrate Christmas, this swap is open to EVERYONE and swappers are welcome to ask for Yule, Hanukkah, Kwanzaa, New Year's other other holiday themes if they prefer.***

~*You can have up to 3 partners.  EXCEPTION: First-time swappers will be limited to 1 partner.  This is to help ease you into the swap process.

~*You can Invite Your Own Partners!  If you obtain an Invite Your Partner (IYP), PM your organizer, Mistress Jennie, after both sides agree.  Questionnaires will not be sent out until signups closing, but you are more than welcome to start sharing your questionnaire and crafting for your IYP as soon as you are approved for the swap.  REMEMBER: You must be approved for the swap before announcing IYPs, and BOTH parties must agree.

IMPORTANT NOTES
~* Since this is a holiday swap, if you have not sent by 3 days past Sendouts, you will get temporary negative.  I don't mean to be harsh, but it is sad to not to receive your holiday parcel during holiday time.  This temporary negative will be reversed when your partner receives.
~* If you do not have an IYP partner, and I am pairing for you, that will be done by random draw (with appropriate attention to allergies and shipping given).
~* You may agree with your partner to send extras, but remember that is not regulated through me and not part of feedback.

~*BE SURE TO READ THIS ENTIRE POST.  There is a secret pass phrase within this post, to help ensure that you read all of the information.  You must include this pass phrase in your questionnaire in order to join the swap.

If you want to participate, fill out the below questionnaire and send to organizer.
(Remember to send your info to the organizer via Private Message (PM) and not to reply with it here)

Remember to read the Swap Info Guide and Swap FAQs before participating in a swap.

Note about Personal Messages (PMs) to Organizer: Please label PMs to organizer with title of "HP Holiday".

Note about Communication: For a wonderful swap experience, communication is the key.  Please keep in touch with your partner.  Please note that per Craftster rules, you MUST post in this thread at least once a week to let us know you are still around.  (You can stop in for a quick hello.....or if on holiday or will be without internet access or anything of the such, just post a message....it gives your partner and organizer warm fuzzy feelings to know you are still around).

Notes about Sending, Receiving, and Feedback
  • SENDING: Take pictures of your items before you send.  When sending, you must use a DC# (or for overseas keep that receipt). Keep your receipt until your partner receives.  PM organizer and partner when you send.
  • RECEIVING: PM organizer and partner when you receive.  Take pictures of received items. (Please take quality pictures, like ones you would take of your work.)  Post pictures in gallery in a timely manner.
  • FEEDBACK: Given when a package is received (verified through PM or DC#) Detailed feedback will be given.  Examples: Sent Early or Lack of Communication; No PMs of Sending/Receiving.
.

FAQs
---NO, you do not have to send extras.  Do not fret about if you are only sending 1 small item; that is all that is required for this swap.  Yes, some of us will send more, but don't underestimate the glory of 1 fabulous small HP craft.

---NO, your item does NOT have to be an ornament; I will not give negative feedback for sending something other than an ornament.  Believe it or not, some peeps don't want ornaments.  Here communication is key!  Find out what your partner wants; first place to check, their questionnaire.  Wink

---The secret pass phrase is: 'don't step on the dirigible plums'

---A small item should take 1-2 hours of crafting time.  YES, you may send a set of related extra-smalls that equal that crafting time if you wish.  (And yes, you can go over that time; I probably will.)

Many mixed-media artists out there have fun with Happy Mail swaps so lets bring another one to Craftster! For this swap, youll beautifully decorate an envelope (something around a 6x9ish) in the way of your choice paint it, mix media it up, add fabric, whatever inspires you. (Remember, whatever you do, you need to leave white spots or labels for your addresses!) Then, youll include FIVE small but handmade (or hand altered) embellishments or crafting doo-dads for your partner to enjoy.

This is a low-pressure swap, with the only requirement being that you must send along five hand-made or hand-altered goodies, rather than store-bought. (Let's keep this inexpensive!)

What are crafting doo-dads, you ask? Here are some ideas!
Handmade stickers, cards, altered tags, crafty ephemera, glue stencils, inchies, altered paperclips, ATCs, hand-cut stencils, paper feathers, paper flowers, altered buttons, etc. (And many other ideas not even mentioned here! Use your imagination, as long as someone can craft with it and you made it.)

Details of swap:
Do you love Halloween? Do you think about Halloween throughout the year, not just in October?  Do you love opening presents?  If you answered yes to any of those questions then this may be the swap for you! This swap is a Mini 13 days of Halloween swap. Instead of opening all your presents at once like in other swaps, we count down the days to Halloween starting with 10/18. You will open day 13 on October the 18th, day 12 on October the 19th and so on until 10/30.  (This is a flexible time schedule however.  Please communicate with your partner.  If you or they need to adhere to a different schedule, that is, of course, okay as long as youve both worked it out beforehand.)

Requirements:
-You must post in this thread before signing up
-A minimum of 13 items, one for each day.
-At least 6 crafted items must be sent, equal to 5 small (Under $10 or under two hours to craft) and 1 medium (Medium = 2 or more hours to craft or $10-$30 dollars)
-Spoiling is okay but do not expect the same in return. If you would like to spoil, please discuss it with your partner!
-You must post in the thread at least once a week (or communicate reason you cannot)
-You must PM both your partner and organizer when you send and receive
-You must post photos in the gallery and if you cant please ask your partner to do so.  We all want to oooh and aaah over the goodies!

Some things to think about:
*THIS SWAP IS LARGE! PLEASE PLEASE PLEASE THINK CAREFULLY ON JOINING AND IF YOU DOUBT YOU CAN DO IT PLEASE DONT JOIN.  WE WANT THIS SWAP TO BE TOTALLY FLAKE FREE!!!!

* I STRONGLY recommend that you have a Pinterest board for this swap, as it helps out your partner greatly. Please keep this updated and have at least 20 items on it. If you do not have a Pinterest board, please have another way to show items to your partner that you like (Etsy favorites, flickr, etc...)

*If you are sending BAKED GOODS, please only send them if you live in the same country as your partner. We do not need to tempt customs people to keep your package after you have worked so hard on it! Also, if you are sending baked goods you should make this the package that is opened on day 1!

*I highly recommend that you wrap your items in a plastic bag/trash bag/ or some other protective wrapping INSIDE the box you are sending. Things can get wet from rain and/or snow OR things can melt in hot temperatures.

If you want to participate, fill in information and send to organizer calixita

 Details of swap:
Do you love making Teesha Moore-style patches? Have you always admired them but haven't yet caught the TM bug? Well, this could be the swap for you!

In this round of the TM Patch Swap, you will be crafting for 1 or 2 partners (first time swappers will be limited to 1 partner) and from 1-3 patches (you and your partner should agree on the exact number).

Also, you will have the option of exchanging a TM Patch Supply kit with your partner (contents of kit may include: floss, fabric, embellishments {buttons, beads, ribbons, charms, etc}, poly-fil, etc.).

Let's keep this swap simple and limit it to the sending of patches and kits (if you love sending extra things, consider adding those as part of a kit Smiley ).

There are lots of inspirational patches from previous swaps, so check out some of the galleries here:

DETAILS OF THE SWAP:

Who doesn't like to make art? And who wouldn't LOVE to randomly discover a bit of art in their local library or park?

Each swapper will create 5 small pieces of art to send to their partner to abandon, with a note attached if desired, outlining the purpose of art abandonment (see more below). After taking pictures of the pieces of art (so we can see detail! Cheesy), the receiving partner will place these items around their local hometown in the hopes of inspiring others and bringing a smile - they should also attempt, if possible, to take a picture of the abandoned art in its abandoned location. Additionally, each person will include 1 small item for their partner. Again, this could be the same as what you made to be abandoned or something different along the swap theme.

As art is received and abandoned, the swapper should post pictures in the gallery.

The swap is open to each person's creativity so make this your own! Great ideas for abandoned art would be things like ATCs, twinchies, mini shrines, embroidery, amigurumi, painted rocks, etc etc! The sky is the limit.

REGARDING THE ATTACHED NOTE:

In the last round, most swappers chose to attach a note to help anyone who might stumble upon their art understand the purpose. Even cooler, some of the swappers got a response from the people that ended up finding their pieces! An example of a note that was included is this:
"Abandoned Art encourages artists and crafters to leave art in various locations around the globe for a lucky, unsuspecting person to find - like YOU!  Use it, give it as a gift or share with someone that you care about.  If this piece of art is not your taste, leave it for someone else to find.  In joy, Enjoy!  If you adopt this piece of artwork, please consider letting us know where you found your art by emailing xxxx@gmail.com."
