I am seeing concerns from organizers that people who are in a lot of swaps are flaking, I am also seeing swappers stressed out because they have signed up for several swaps and are getting confused....wondering if this is related! I know I would have a hard time keeping my swaps in check if it wasn't for my trusty swap notebook! Here is the template that I fill out for every swap I sign up for:
Swap Name
Sign-up Dates -
Send by -
Organizer -

Partner Name -
Partner Info -
(likes/dislikes etc.)

Partner Address -

Date Sent -
DC# -
  (check when my partner's package is confirmed delivered)
__Recieved From:
  (when I get my stuff, sometimes it's not from the same person I send to so I write their name)

Ideas For Crafts -

( I usually list all my ideas, cross out all items I rule out, and check off the ones I have finished)


So I, fill out all the sections as I get info, and things get modified to accomadate multiple partners and such, but this really works for me to keep track of stuff. It's also nice to be "checking off" all the crafts I am working on as I finish them from my ideas section. I just write all this in my dedicated notebook, but you could easily copy, paste and print of course. I dunno, others probably do this but I just haven't seen it posted anywhere and thought it might be helpful.   Kiss

I do this same thing, and I have it saved as a PDF for anyone that wants it, I could email it to you. (I print mine out and have it coil bound into a neat little swappers notebook)

well color me impressed! (which i think is sort of a lavander color)

i have yet to enter a swap, (tho i hope the few i like will start soon!) but this is much appreciated! Always better to start out organized, lol

I have also started to do this.
I'm quite new to swapping and can see the swap addiction forming.  I've just joined 2 swaps, one of which is a 6 month swap, and will be organising for the first time this month.  As well as this idea I got myself a mini diary that I can write in all the important swap dates.  It means if I see swaps I want to do, it makes it really easy to check if I will have the time to do it.  I can also prioritise making my swap items by quickly finding out which send date is first.

Luckily for me i'm quite an organised person anyway  =)

oooh that's a good idea. I'm organizing my first swap and I've got a list started but that's about it so far.
